Administrative Assistant- Job Vacancy in Orlando, Florida, United States of America (USA)
Responsibilities
- Answers telephone calls and takes messages for manager, department, or team members.
- Greets all visitors, answers questions, and directs to meeting rooms, or connects them with staff members.
- Understands and develops relationships with employees, trade contractors, and clients.
- Creates and maintains templates for forms, letters, tracking spreadsheets, etc.
- Assists with organizing meetings and/or special events, including arranging for catering, locations, and distribution of information.
- May have mail distribution and courier responsibilities.
- Arranges travel, hotel, and car reservations and prepares itinerary.
- Able to mentor and coach other, more junior, administrative support staff.
- Orders office supplies for district or assigned area as required.
- Other duties as required.
Qualifications
- High school diploma.
- Associates degree or certificate in office administration program considered an asset.
- 1 year of experience in an administrative role or equivalent technical experience.
- Excellent verbal and written communication skills.
- Professional and service-oriented approach internally and externally.
- Ability to multitask.
- Ability to act with discretion when handling confidential and privileged information.
- Ability to effectively handle difficult calls and situations.
- Ability to remain calm under pressure.
- Able to anticipate and adapt to various work styles.
- Ability to develop and maintain effective stakeholder relationships.
- Ability to create, edit, proofread, and format documents/presentations.
- Basic skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
